BineClaim Privacy Policy

Version 1.2 · Effective date: October 14, 2026 · Last updated: October 14, 2026

This policy explains what personal information BineClaim collects, why we collect it, who we share it with, and the choices available to you.

1. Who We Are

BineClaim is invoice management and accounts receivable software built and operated by BineCloud LLC, a company registered in Georgia with its principal office at 4260 Beverly Lane NE, Atlanta, GA 30342, United States. Throughout this policy, “BineClaim,” “we,” “us,” and “our” refer to BineCloud LLC.

This policy explains what personal information we collect through the BineClaim website and application, why we collect it, who we share it with, and the choices available to you. It applies whether you use BineClaim as a business managing your own customers’ invoices or as an individual sending invoices to people who owe you money.

If you are located in the European Economic Area, the United Kingdom, or Switzerland, BineCloud LLC is the data controller for the personal information described in this policy, unless you are using BineClaim on behalf of a company, in which case your employer or client is typically the controller and BineClaim acts as a processor under a separate Data Processing Addendum.

2. Information We Collect

Information you give us directly

When you create a BineClaim account, we collect your name, email address, phone number, business name (if applicable), and billing details. If you enable Multi-Factor Authentication, which is required for all accounts, we also process the authentication method you choose, such as a one-time code sent by SMS or an authenticator app registration.

Information about the people you invoice

BineClaim’s core function is managing unpaid invoices, which means you will typically upload or enter information about your own customers or clients: their names, contact details, invoice amounts, due dates, and payment history. We process this information on your behalf, as your service provider, and you remain responsible for having a lawful basis to share it with us.

Payment information

Subscription payments to BineClaim are processed by Stripe. We do not store full credit card numbers on our own servers. Stripe collects and processes your card details directly under its own privacy policy and PCI-DSS certification.

Communications data

If you contact our support team, or if BineClaim sends invoice reminders on your behalf through SMS (via Twilio) or email (via Resend), we retain records of those messages, including delivery status, for troubleshooting and record-keeping. If you send text messages to your own customers through BineClaim, we also retain the consent and opt-out records described in our SMS and Communications Compliance Policy.

Usage and device information

We automatically collect certain technical information when you use BineClaim, including your IP address, browser type, device identifiers, pages visited, and the actions you take within the app. Some of this is collected through cookies and similar technologies, described further in our Cookie Policy.

Information from optional integrations

If you choose to connect a customer relationship management (CRM) tool or enable our optional Dun & Bradstreet integration for commercial credit checks, we will receive additional information from those services based on the permissions you grant. These integrations are off by default and require your explicit action to enable.

3. How We Use Your Information

We use the information described above to:

  • Create and maintain your account, including enforcing mandatory Multi-Factor Authentication
  • Provide the core invoice tracking, reminder, and recovery features you sign up for
  • Process subscription payments and send billing communications
  • Send invoice-related messages to your customers on your behalf, through SMS and email
  • Provide customer support and respond to your requests
  • Power certain AI-assisted features, such as drafting reminder messages or summarizing account status, using Anthropic’s Claude API (see our AI Usage & Responsible AI Policy for details)
  • Detect and prevent fraud, abuse, and security incidents
  • Understand how the product is used so we can improve it, using HeyCatch product analytics and, where you opt in, Google Analytics (GA4)
  • Meet our legal and regulatory obligations

We do not use your data, or your customers’ data, to train third-party AI models. Prompts and outputs sent through the Claude API are not used by Anthropic to train its models under our commercial agreement with them.

Legal basis for processing (EEA, UK, and Switzerland)

Where the GDPR or UK GDPR applies, we rely on the following legal bases: performance of a contract with you (providing the service you signed up for), our legitimate interests (improving and securing the product, subject to your rights), consent (where required, such as analytics cookies), and compliance with legal obligations.

4. Analytics and Tracking Technologies

BineClaim uses HeyCatch product analytics on every visit to record page views, clicks, route changes and business outcomes such as sign-ups and purchases. HeyCatch sets a visitor identifier in your browser and, after you sign in, associates activity with your account (user ID, email, name and plan). We use this to improve the product; it is not used for advertising. BineClaim also uses Google Analytics (GA4) to understand how visitors use our website and application, including which pages are viewed and how long sessions last. We have configured Google Analytics for basic usage analytics only. We do not enable Google Signals, ad personalization, or cross-device advertising features, and Google Analytics data is not used to serve you ads.

If you are located in the European Economic Area, the United Kingdom, or Switzerland, analytics cookies are only set after you provide consent through the cookie banner presented on your first visit. You can withdraw that consent at any time through the cookie preference settings described in our Cookie Policy.

If you are located in California or another state with an opt-out right for the sale or sharing of personal information, we honor the Global Privacy Control (GPC) signal and other recognized opt-out mechanisms. See Section 8 for more on your rights.

For a full list of the cookies and similar technologies BineClaim uses, see our Cookie Policy.

5. Who We Share Information With

We do not sell your personal information, and we do not share it with third parties for their own marketing purposes. We share information with the following categories of recipients, each of whom is contractually bound to protect it:

  • Amazon Web Services, for cloud hosting and infrastructure
  • Anthropic, for AI-assisted processing through the Claude API
  • Stripe, for subscription payment processing
  • Twilio, for SMS delivery
  • Resend, for transactional email delivery
  • HeyCatch, for product analytics
  • Google, for Google Analytics usage measurement where enabled
  • Dun & Bradstreet, only if you enable optional commercial credit checks
  • CRM providers you select, only when you enable an integration

We may also disclose information if required by law, to enforce our Terms of Service, or to protect the rights, property, or safety of BineClaim, our users, or others.

If BineClaim is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to the protections described in this policy.

Mobile information and SMS consent

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service and message delivery (Twilio), is permitted only to operate the Services. All other use-case categories exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties.

If you provide a mobile number to BineClaim, we use it only to send one-time verification codes for Multi-Factor Authentication and account or invoice notifications you have requested. Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP, and reply HELP for assistance or email support@binecloud.com.

6. International Data Transfers

BineClaim’s infrastructure is hosted on Amazon Web Services in United States data center regions. If you access BineClaim from outside the United States, your information will be transferred to and processed in the United States.

For users in the European Economic Area, the United Kingdom, or Switzerland, we rely on the European Commission’s Standard Contractual Clauses, and the UK International Data Transfer Addendum where applicable, as the legal mechanism for these transfers. A copy of the relevant safeguards is available on request by emailing support@binecloud.com.

7. Data Retention

We retain personal information for as long as your account is active, plus a limited period afterward to comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. As a general practice:

Data categoryRetention period
Account and invoice dataLife of account and up to seven years afterward for tax and audit purposes
Security and audit logsTwelve months
Encrypted backupsUp to thirty five days on a rolling basis
Support communicationsThree years

If you close your account, you may request deletion of your personal information ahead of these default periods, subject to the exceptions described above.

8. Your Privacy Rights

If you are in the European Economic Area, the United Kingdom, or Switzerland

You have the right to access the personal information we hold about you, request correction of inaccurate data, request deletion, object to or restrict certain processing, request a copy of your data in a portable format, and lodge a complaint with your local data protection authority. To exercise any of these rights, email support@binecloud.com. We will respond within one month, as required by the GDPR. If you are in the United Kingdom, you may also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.

If you are a California resident

Under the CCPA and CPRA, you have the right to know what personal information we have collected about you, request deletion, request correction, and opt out of the sale or sharing of personal information. BineClaim does not sell personal information and does not share it for cross-context behavioral advertising, so there is nothing to opt out of in that respect, but we will still honor Global Privacy Control signals. To exercise your rights, email support@binecloud.com or use the request form linked in the app’s account settings. We will not discriminate against you for exercising these rights.

If you are a resident of another U.S. state with a comprehensive privacy law

Depending on where you live, you may have similar rights to access, correct, delete, or port your personal information, and to opt out of certain types of processing. Contact us at support@binecloud.com and we will process your request under the law that applies to you.

9. Children’s Privacy

BineClaim is a business tool intended for use by adults managing invoices and receivables. It is not directed at children, and we do not knowingly collect personal information from anyone under the age of 18. If you believe a child has provided us with personal information, contact us at support@binecloud.com and we will delete it.

10. Security

We protect personal information using industry-standard measures, including TLS encryption in transit, AES-256 encryption at rest, mandatory Multi-Factor Authentication on every account, role-based access controls, continuous security logging, regular vulnerability management, and encrypted backups. Full detail on our security program is available in our Information Security Policy.

No system is completely secure, and we cannot guarantee absolute security of information transmitted to or stored on our platform. If we become aware of a data breach affecting your personal information, we will notify you and any applicable regulator as required by law.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. If we make material changes, we will notify you by email or through a notice in the app before the changes take effect. The “Last Updated” date at the top of this policy always reflects the most recent version.
